I have been doing this for 11 years, very consistently.
I have one Google Spreadsheet with multiple sheets for each year—2015, 2016, 2017, and so on. In each sheet, I have columns for January, February, March, etc.
In the first column, I list all my investments and assets—PPF, EPF, savings accounts, demat accounts, and everything else I own. I even track physical gold in total grams and calculate its value based on the current rate and purity/carat. I update the sheet every month, so I always have a clear idea of my net worth.
There is also another sub-sheet in the same document with all the important account information, including account numbers, IFSC codes, PPF, EPF, UAN, demat details, company names, IDs, online user IDs, etc.
I have already added nominees to all the relevant accounts. I have also included information about my insurance policies, EMIs, and other important financial details.
I have explained everything to my wife, but honestly, anyone who goes through the complete spreadsheet would get a clear picture of everything. I update it every month, usually on the first weekend.
Because of this system, I never feel like anything is untracked or overlooked.
Many people do that. Someone I know deals in land and has around 20–30 properties. They do the same thing—they keep all the registry documents, etc., but also maintain metadata such as the purchase date, plot size, other important details, previous owner, etc. Whenever they buy or sell a plot, they update that sheet accordingly.

Had this thought 2 years back and here’s what did:
1. Created an excel with all our investments, both mine and my spouses - line items like MF, EPF, PPF, FD , cash etc. it also has details like our PRAN, UAN , Accoutn details, insurance details etc as well.
2. Saved this in my google drive.
3. I update this spreadsheet in the first week of every quarter - it’s a 15-20 min work , just to get a delta from previous quarter.
4. Created a google app script (used chatgpt to create this) to send this sheet to my and my wife’s email ids 10th of every month. This is password protected - I have given the code on how to unlock the excel in the email itself , like your statements from bank.
5. This gives me an idea of how our corpus is growing as well as an overall view of financial things , and prompts me to keep my logins updated every month. The worst that could happen is the delta of a quarter.
PS - my wife doesn’t know head and tail of what and where our investments are though she’s an earning person.
